Privacy Policy
What we collect through this website, why, who else sees it, and how to ask us about it.
Last updated: 9 October 2026
In short: we collect only what you send us (mainly through the contact form) and the basic technical data any website needs to work and stay secure. We do not sell your information, and we do not use advertising or tracking cookies. Our products (GateControlX, ShopGuard, NearbySafe, Mopari) each have their own privacy policy.
1. Who is responsible for your information
Oceanbreeze Concepts (Pty) Ltd (registration number BW00005819590), Plot 475, Ghanzi, Botswana, is responsible for personal information collected through obc.org.bw. In the language of Botswana’s Data Protection Act, 2024, we are the data controller for it.
For any privacy question or request, contact us at [email protected], +267 77 833 816, or P.O. Box 851, Ghanzi, Botswana.
2. What we collect and why
When you contact us
The contact form asks for your name, email address, the service you are interested in, and your message. We store this in our database and email it to our team mailbox so we can reply. If you email, call or WhatsApp us instead, we keep that conversation for the same reason.
Why: to answer your enquiry and, if you choose to work with us, to prepare a quote and deliver the work.
Spam protection
The contact form is protected by Cloudflare Turnstile, which checks that a person, not a bot, is submitting it. To do this, Cloudflare processes your IP address and technical information about your browser.
Why: to keep our forms and inbox free of automated abuse.
When you visit the site
Like any website, our servers and our network provider, Cloudflare, record technical information about each visit: your IP address, the page requested, the time, and your browser type. We use this only to run the site, fix faults and protect it from attacks.
We do not use Google Analytics, advertising pixels or any other visitor tracking.
Remote support
If you run our remote support agent, our support server records your device’s name, operating system and IP address, and our technician can see your screen while connected. We use this only to give you the support you asked for.
AI chatbot demonstrations
Messages typed into our demonstration chatbots are sent to OpenAI to generate a reply, and the conversation is stored with an anonymous session number so we can improve the demos. Please do not enter personal information into a demo.
3. Cookies
This site uses only cookies it needs to work: a security cookie that protects forms against cross-site request forgery, and a login cookie for our own staff. There are no advertising or analytics cookies.
Your browser also loads the site’s fonts from Google Fonts and its styling from a public content network. Those providers receive your IP address when they serve the files, as they would for any website that uses them.
4. Who we share it with
We do not sell or rent personal information. We share it only with the service providers we need to run this website:
- Our email host — stores the emails and form enquiries we receive;
- Cloudflare — network delivery, security and the Turnstile spam check;
- OpenAI — only for messages typed into the chatbot demos;
- Google Fonts and the styling network — only your IP address, when your browser loads those files.
We may also disclose information when Botswana law requires it, or to protect our rights or someone’s safety.
5. Where your information is kept
This website and its database run on our own server in Botswana. Some information is processed outside Botswana:
- our email is hosted by a provider in the United States, so enquiries and emails you send us are stored there;
- our remote support server is in South Africa;
- Cloudflare, OpenAI and Google are international providers, mainly based in the United States.
We use these providers only for the limited purposes above, and choose ones that publish their own security and data protection commitments.
6. How long we keep it
- Enquiries — for as long as we are discussing your enquiry and, if you become a client, for the life of the relationship plus the period Botswana tax and company law requires us to keep business records.
- Enquiries that do not lead to work — deleted once they are no longer needed; you can ask us to delete yours at any time.
- Technical logs — kept only for a short period for security and troubleshooting.
7. Your rights
Under the Data Protection Act, 2024 you may ask us to:
- confirm whether we hold personal information about you, and give you a copy;
- correct information that is wrong or incomplete;
- delete your information, or stop or restrict using it;
- give your information to you, or to another provider, in a commonly used electronic format;
- withdraw consent you have given, without affecting what we did before.
We do not make decisions about you using only automated processing.
To use any of these rights, email [email protected]. We may need to confirm your identity first, and we will respond within the time the Act allows. If you are unhappy with how we handled your request, you can complain to Botswana’s Information and Data Protection Commission.
8. Keeping it safe
The site is served only over encrypted HTTPS connections. Our database is not reachable from the internet, and access to it is limited to the people who need it to do their work. If a security breach puts your personal information at risk, we will notify the Commission within 72 hours of becoming aware of it, as the Act requires, and tell you where the law requires us to.
9. Our products and our clients’ data
This policy covers obc.org.bw only. GateControlX, ShopGuard, NearbySafe and Mopari POS each have their own privacy policy that explains what that product collects.
When we build or host a system for a client — for example, a gate system for a housing estate — the client decides what personal information is collected about its own residents, staff or customers, and we process it on the client’s behalf under our agreement with them. If you are one of those people, please contact that organisation first; we will help them answer your request.
10. Children
This website is meant for businesses and adults. We do not knowingly collect personal information from children through it. If you believe a child has sent us their information, contact us and we will delete it.
11. Changes to this policy
We will update this policy when the way we handle information changes. The date at the top of the page shows the latest version.
